SnowClub Privacy Policy

Version 1.0 · Effective date: [set at publish]

This policy explains how SnowGroup Digital Inc. ("SnowGroup", "we") collects, uses and shares personal information when you use SnowClub (mysnowclub.com) and the SnowBus booking services connected to it. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA). Section 12 covers people outside Canada.

We do not sell your personal information.

1. What we collect

You give us:

  • Account details: first name, email, password (stored hashed), and your 16+ confirmation.
  • Profile details you choose to add: photo, home mountain, riding style, and other profile fields.
  • Crew and club information: people you invite or add, and the groups you join.
  • Bookings: what you book, dates, travellers, pickup points, special requests, and messages with partners about a booking.
  • Payments: handled by Stripe. We receive a payment reference, the last digits and the card type, never your full card number.
  • Messages to us and to partners through SnowClub.
  • Business accounts: business name, contact people, payout and tax details needed to pay you.

Collected automatically:

  • Device and usage data: IP address, browser, pages viewed, referring page, and approximate location from your IP.
  • Cookies and similar tools, as set out in our Cookie Notice. Analytics and advertising tools only run when you allow them.

From others:

  • Partners, about a booking you made with them (for example confirmation or check-in).
  • People who invite you to a crew or club, who give us your name and email so we can send the invite.

2. Why we use it

  • To create and run your account and membership.
  • To take bookings and payments, and pass booking details to the partner who provides the service.
  • To show member offers and keep your trips, crews and messages in one place.
  • To keep SnowClub safe: preventing fraud, securing accounts, and enforcing our terms.
  • To understand and improve SnowClub (analytics, with your consent where required).
  • To send service messages about your account and bookings. These are not marketing.
  • To send member deals and news, only if you opt in. You can unsubscribe from any marketing email.
  • To meet legal, tax and accounting obligations.

3. Consent

We use your information with your consent, given when you join, book or opt in, or where consent can be reasonably implied for the service you asked for. You can withdraw consent at any time, subject to legal or contractual limits. If you withdraw consent, we may not be able to provide some services (for example a booking).

Marketing email follows Canada's Anti-Spam Legislation (CASL). We only send it with your consent, it identifies us, and every message has an unsubscribe link that we honour promptly.

4. Who we share it with

  • Partners who provide what you booked receive the details they need to deliver it (name, contact, booking details, special requests).
  • Service providers who process data for us under contract, including:
    • Amazon Web Services: hosting and email delivery.
    • Stripe: payments.
    • Google: analytics, plus email and calendar for support.
    • Meta and LinkedIn: advertising measurement, only with your consent.
    • Attio: our customer records system.
    • Others needed to run the service.
  • Other members see only what you choose to show, for example your profile to your crew.
  • Legal and safety: where the law requires it, or to protect people, our members or SnowGroup.
  • Business transfers: if SnowGroup is reorganised, merged or sold, information may transfer to the new owner under this policy.

5. Storage outside Canada

Some of our service providers store or process information in the United States and other countries. When that happens, the information is subject to the laws of those countries, and authorities there may be able to access it. We use contracts and safeguards to protect it.

6. How long we keep it

  • Account information: while your account is open.
  • Booking and payment records: for the period tax and accounting law requires (generally up to seven years in Canada).
  • Marketing consent and unsubscribe records: as long as needed to prove consent and honour opt-outs.

When we no longer need information, we delete it or make it anonymous.

7. Your choices and rights

You can ask to access the personal information we hold about you, to correct it, or to delete it. You can also withdraw consent and change your email preferences at any time. Most of this is in your account settings; otherwise contact us below. We may need to confirm your identity. We will respond within 30 days, as PIPEDA and PIPA require.

If you're not satisfied, you can complain to the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.

SnowClub is for people 16 and older. We do not knowingly collect information from anyone under 16. If you think we have, contact us and we will delete it.

10. Security

We use reasonable technical and organisational safeguards: encryption in transit, access controls, and payment handling by Stripe. No system is perfectly secure. If a breach creates a real risk of significant harm, we will notify you and the regulators as the law requires.

11. Changes

We will post updates here and change the effective date. If a change is significant, we will tell you by email or in SnowClub.
